Refunds
This policy covers fees and deposits for financial auditing engagements with Nozomi Ledger Office. It does not apply to goods we do not sell. No payments are processed through this website; refunds relate to invoices issued under a signed engagement letter.
Eligibility
Refunds are considered when an engagement is cancelled in writing before substantial fieldwork begins, or when we cancel because we cannot complete the work for independence or capacity reasons.
Timeframe to request
Send a refund or cancellation request within fourteen days of the event giving rise to the claim, or sooner if your engagement letter sets an earlier notice period for busy-season windows.
Full or partial refund
If you cancel more than twenty-one days before the scheduled planning visit and no fieldwork has started, the deposit is refundable minus a ¥30,000 administrative charge. Cancellations inside twenty-one days may receive a partial refund reflecting planning hours already incurred. After fieldwork starts, fees for completed days and irrevocable third-party costs (such as courier confirmations already sent) are non-refundable; unused prepaid amounts may be credited or returned at our discretion.
Non-refundable items
Completed inventory observation days, issued special purpose findings reports, and hours already delivered on control walk-throughs are non-refundable. Fixed fees for work already performed are not returned simply because management disagrees with a finding.
Refund process
Email hello@data-syncer.digital with your engagement reference, invoice number, and reason. We confirm eligibility in writing and state the amount.
Processing time and method
Approved refunds are processed within fourteen business days by bank transfer to the account that paid the invoice, unless another method is agreed in writing.
Cancellation and rescheduling
You may request a new fieldwork window subject to team availability. One complimentary reschedule is allowed if requested at least fourteen days before the original planning date. Later changes may incur a rescheduling fee stated in the engagement letter.
Deposits
A deposit (typically 30%) holds a busy-season slot. The deposit is applied to the final invoice. Forfeit rules follow the cancellation timelines above.
No-shows
If management or key staff are unavailable on an agreed fieldwork day without twenty-four hours’ notice, that day may be charged and a new date scheduled at additional fee.
Work already started
Once planning memoranda, sample selections, or inventory attendance have begun, fees reflect progress to date. We provide a statement of work performed before calculating any remainder due for refund.
Purchased materials
We rarely purchase materials for clients. If confirmations or specialist valuations are ordered with your approval, those third-party charges are non-refundable once ordered.
Exceptions
If we withdraw for an independence conflict discovered after acceptance, prepaid unused fees are refunded in full. Statutory cooling-off rights under Japanese law, where applicable to consumers, are respected.
