Data we collect

From inquiry forms: name, email, optional engagement preference, year-end date, and message content. From newsletters: email address. From essential cookies: a consent preference stored in your browser. If you accept analytics cookies, we may receive aggregated visit statistics from the analytics provider listed on the cookies page.

Purposes

We use contact details to respond to estimate requests, schedule scoping calls, and maintain engagement correspondence. Newsletter emails are used only to send Field Notes updates you requested.

Retention

Inquiry messages that do not become engagements are kept for up to twenty-four months, then deleted or anonymised. Engagement files follow professional retention periods stated in the engagement letter, typically seven years for audit working papers. Newsletter subscriptions remain until you unsubscribe.

Legal bases

We process inquiry data to take steps at your request before entering a contract, and to pursue legitimate interests in operating a professional audit practice. Cookie preferences rely on your consent where required.

International transfers

Our primary records are held in Japan. If a hosting or email provider processes data outside Japan, we use providers that offer appropriate safeguards such as standard contractual clauses or equivalent protections recognised under Japanese guidance.

Your rights

Security

We limit staff access to inquiry mailboxes and use commercial email and hosting providers with access controls. No method of transmission is perfectly secure; please avoid sending full bank account numbers through the public form.
